Speed to lead: how to answer Meta and Google Ads leads within minutes
Respond to every Meta or Google Ads form lead within five minutes, automatically. Send the lead to your system by webhook the moment it is submitted, reply with an approved WhatsApp template within a minute, and place an AI or human call within five. Research published in Harvard Business Review found leads contacted within an hour were far likelier to be qualified.
- In an HBR study of 2,241 US companies, only 37% replied to a web lead within an hour and 23% never replied.
- Meta lead ads can notify your system by webhook, usually within a few minutes of submission.
- Google Ads keeps lead form leads for only 60 days, so pipe them to your CRM rather than downloading CSVs.
- The first touch should be a WhatsApp template within a minute, followed by a call within five.
- Put consent wording in the lead form itself, and respect calling hours and DND rules for every call.
Why ad leads go cold so fast
Someone fills your Instagram lead form for an IELTS coaching batch at 9:40 PM while scrolling. They also filled two others. Whoever calls first, while they still remember filling the form, usually gets the conversation. Call the next afternoon and you often hear "which institute is this?"
The best-known research on this is old but clear. In The Short Life of Online Sales Leads (Harvard Business Review, March 2011), researchers sent web leads to 2,241 US companies: 37% replied within an hour, 24% took more than 24 hours and 23% never replied. A separate analysis in the same article found firms that contacted leads within an hour were nearly seven times as likely to qualify them as firms that waited even an hour longer. The data is American and from 2011, but anyone who runs lead ads in India sees the same pattern.
There is also a money angle. You paid for the click and the lead the moment the form was submitted. Every hour of delay lowers the return on that spend, and leads that arrive late at night or on Sundays, when your office is closed, suffer most. Automation is the only way to answer those at the same speed as a Tuesday morning lead.
How leads leave Meta and Google
| Source | Ways to get leads | Watch out for |
|---|---|---|
| Meta lead ads (Facebook, Instagram) | Webhook notification, API bulk read, CSV export, CRM integrations | Meta says real-time webhooks can take up to a few minutes |
| Google Ads lead form assets | Webhook, Google Ads API, Zapier, email alerts, CSV download | Leads are stored for 60 days, and CSV covers only the last 30 |
| Click-to-WhatsApp ads | The chat opens on your WhatsApp number directly | Needs an instant reply on WhatsApp itself |
Downloading a CSV every morning is the most common reason Indian businesses respond slowly. A webhook pushes each lead to your system the moment it arrives, which is what makes a one-minute reply possible. For WhatsApp ads, see Click to WhatsApp ads automation.
The five-minute response plan
- Second 0: the lead form is submitted and the webhook fires.
- Within 1 minute: a WhatsApp template thanks them by name, confirms what they asked about and offers buttons: Call me now, Call me later, Send details.
- Within 5 minutes: a call, either an AI voice agent that asks three or four qualifying questions or a human if one is free. Skip it if they tapped Call me later.
- Within the hour: qualified leads land in your CRM with answers attached, and a salesperson picks up the hot ones.
- Next 7 days: a short drip for anyone who did not respond, ending after three or four touches.
Two rules make this work. First, the WhatsApp template must be approved before the campaign starts, and Meta decides its category, so a promotional follow-up is billed as marketing. Second, calls follow your calling-hours policy: a lead at 11:30 PM gets the WhatsApp message now and the call at 9 AM.
Consent: get it in the form
Speed is no excuse for skipping consent. Add a line to your lead form that names your business and says you will contact the person on WhatsApp and by phone about their enquiry. Meta's WhatsApp policy requires opt-in that clearly names your business before you message someone. For calls, respect TRAI's DND and commercial communication rules, keep to reasonable hours and stop immediately when asked. Our guide to AI calling compliance in India covers the details.
Building it on Convo360
Convo360 runs the whole sequence from one flow:
- Webhook in. Point your Meta lead webhook (through your developer, Zapier or Make) or your Google Ads lead form webhook at a Convo360 inbound webhook trigger. Requests are HMAC-signed, and fields such as name, phone and course map to flow variables.
- Instant WhatsApp. A Send Template step sends the approved thank-you template with Buttons.
- Call. On Pro or Business, the webhook can start an outbound AI voice call through your own Exotel, Plivo, Twilio or SIP account. Gather voice blocks ask the qualifying questions and Set Variable stores the answers.
- Route. A Condition step sends qualified leads to Save CRM lead in the right pipeline stage, and others to a nurture drip with Wait / Delay steps.
- Hand over. A transfer voice block connects hot leads to a salesperson during working hours.
Test the full path in Preview and check Flow Logs after the first real leads. The webhooks docs show the payload format, and AI lead qualification scripts help with the questions.
What to measure each week
- Median time to first touch, from form submission to WhatsApp message. Target under one minute.
- Median time to first call. Target under five minutes during calling hours.
- Contact rate: share of leads who replied or answered a call.
- Qualified rate by ad campaign, using the source saved on each lead.
- Cost per qualified lead, combining ad spend with these counts in a sheet.
If contact rate drops while speed holds, look at lead quality and form questions before blaming follow-up. The sales team follow-up routine covers what happens after the first call.

Frequently asked questions
How quickly should I respond to a Facebook or Instagram lead?
Aim for an automatic WhatsApp reply within a minute and a call within five minutes during calling hours. Research published in Harvard Business Review found leads contacted within an hour were nearly seven times as likely to be qualified as those contacted an hour later.
Can I get Meta lead ads leads instantly?
Yes, through a webhook. Meta's lead ads documentation describes real-time webhook notifications, which it says can arrive with a delay of up to a few minutes. Your system then fetches the lead details and can start a WhatsApp message or call straight away.
How long does Google Ads keep lead form leads?
Google says it stores lead form leads for 60 days, and the CSV download covers only the last 30 days. Connect a webhook, the Google Ads API or a tool such as Zapier so every lead reaches your CRM as it arrives.
Can I message a lead on WhatsApp if they filled an ad form?
Only if they agreed to be contacted on WhatsApp by your business. Add clear consent wording to the form, then use an approved template for the first message, since you are writing outside a customer service window.
Is it acceptable to call a lead with an AI voice agent?
Yes, if the lead consented to calls, you call within reasonable hours, respect DND rules and the agent is honest about being automated when asked. Offer an easy way to reach a person, and stop calling when the lead asks.
