Lead qualification scripts for AI voice agents, with examples
A good AI voice lead qualification script asks five short questions covering budget, need, timeline and decision authority, listens for objections with one or two ready responses, and transfers to a human the moment the lead is qualified or asks for one. Keep each question under fifteen words so the call sounds natural, not like a form.
- Five short questions covering need, budget range, timeline and authority is enough to qualify most leads.
- Write objection responses in advance — 'just browsing', 'send details on WhatsApp', 'call me later' come up constantly.
- Always include a clear transfer rule so a hot or frustrated lead reaches a human without delay.
- Keep sentences short; a script written for reading sounds robotic when spoken aloud.
- Different industries need different question order — real estate leads with budget, B2B leads with the problem statement.
What a qualification script needs to do
An AI voice agent calling a fresh lead has one job: figure out in under two minutes whether this person is worth a salesperson's time, and if so, get them to the right person quickly. It is not there to close the sale.
The script needs a greeting that confirms who called and why, a small set of qualifying questions, at least one objection handler, and a clear exit — either a transfer to a human or a scheduled callback. Everything beyond that adds call length without adding useful information, and long calls are exactly where leads start hanging up or giving vague answers just to end the conversation.
The five-question structure
A BANT-style structure, Budget, Authority, Need, Timeline, adapted for a short call works well:
- Confirm interest: 'I'm calling about your enquiry for [product], is now a good time for two quick questions?'
- Need: 'What are you mainly looking for: [option A] or [option B]?'
- Budget range: 'Do you have a rough budget in mind, even a range is fine?'
- Timeline: 'Are you looking to decide in the next few weeks, or just exploring for now?'
- Authority: 'Will you be deciding, or is someone else involved too?'
Five questions, each answerable in one sentence. Anything longer starts to feel like an interrogation rather than a conversation. Order matters as much as content, since asking budget before need can feel intrusive, while asking it after the lead has already described what they want feels like a natural next question.
Handling objections
Write two or three responses for the objections that come up on nearly every list:
- 'Just browsing': 'No problem at all, can I send a short WhatsApp with pricing so you have it when you're ready?'
- 'Send it on WhatsApp instead': agree immediately and use a Transfer to hand off, or trigger a WhatsApp message from the same flow.
- 'Call me later': ask for a rough time window and schedule a callback rather than ending the conversation cold.
- 'How did you get my number?': answer plainly, 'You enquired on our website/portal on [date], so I'm following up on that.' Never dodge this question, since a vague answer erodes trust fast.
- 'I'm not interested': acknowledge it once, offer to send information for later, and end the call politely rather than pushing further questions.
The goal isn't to argue past an objection, it's to keep the door open politely and move on. A script that tries to overcome every objection ends up sounding pushy, which is worse for the brand than a shorter, lower-conversion call.
The transfer rule
Set one non-negotiable rule: the moment a lead is clearly qualified (budget fits, timeline is near, authority confirmed) or explicitly asks for a person, the call should offer a transfer to human. Don't let the script keep talking past a ready buyer, that's when calls lose deals rather than win them.
On Convo360, this is a voice block: transfer with a condition tied to the qualification answers, routing to your sales team's number. Build a second, softer rule too: if the caller sounds frustrated or repeats a question twice, transfer immediately regardless of qualification status, since a frustrated caller escalated late is harder to recover than one handed off early.
Sample scripts by industry
Real estate: lead with budget and preferred locality before timeline, since these leads often have a firm number in mind. 'Are you looking at 2BHK or 3BHK, and is your budget closer to 80 lakhs or above a crore? And are you looking to move in the next few months, or planning further ahead?' Real estate leads respond well to a locality follow-up too: 'Any particular area you're focused on, or open to a few options nearby?'
Edtech: lead with the course and current stage. 'Is this for yourself or your child, and which class or exam are you preparing for? Do you have a target intake or exam date in mind?' Parents calling on behalf of a child often need a slightly warmer, slower pace than a self-enquiring adult learner.
B2B: lead with the problem, not the product. 'What's driving the enquiry right now, is this replacing an existing tool or a new requirement? And roughly how many people on your team would be using this?' B2B calls should confirm authority more directly since a wrong assumption here wastes a salesperson's follow-up: 'Would you be the one evaluating this, or is there a team involved?'
Each industry's Template Store agent on Convo360 ships with a starting script like this that you can edit in plain language.
Building and testing it on Convo360
Create the script inside an AI agent's system prompt, writing it as instructions rather than a rigid transcript, for example, 'ask about budget range before timeline, keep each question to one sentence, offer a transfer if the caller sounds ready to buy.' Set the agent's voice and language in Voice settings, then use Preview / Try-it to run test calls and read the Flow Logs to see where callers hesitate or hang up before refining the wording.
Measuring script performance
Track three numbers over your first few hundred calls: the qualification rate (share of connected calls that answer all five questions), the transfer rate (share that reach a human), and the average call duration. A qualification rate that's very low often means the opening line isn't building enough trust before the questions start, so try naming the source of the enquiry earlier. A long average duration usually means a question is triggering back-and-forth clarification, which is a sign to shorten or reword it.
Review call recordings and transcripts for the calls that ended early, since these usually reveal one or two specific phrases that consistently cause hesitation, and are the fastest fixes to make to the script.
Step by step
- Write the five-question structureDraft need, budget range, timeline and authority questions, each short enough to answer in one sentence.
- Add objection responsesWrite ready lines for 'just browsing', 'send it on WhatsApp' and 'call me later' so the agent never goes off-script.
- Set the transfer ruleDefine exactly when the call should offer a human transfer — on qualification or on caller frustration.
- Load the script into the AI agentWrite it as instructions inside the agent's system prompt rather than a rigid word-for-word transcript.
- Set voice and languageChoose the agent's voice and language in Voice settings to match your caller base.
- Test with Preview and refineRun test calls with Try-it, check Flow Logs for hesitation points, and adjust wording accordingly.

Frequently asked questions
How long should an AI qualification call be?
Aim for under two minutes for the qualifying portion. Longer calls feel like a survey and increase the chance the lead hangs up before you get useful answers.
Should the script ask for budget directly?
Yes, but softly — 'even a rough range is fine' lowers the resistance many people have to naming an exact number early in a call.
What if the lead refuses to answer any questions?
Don't push. Offer to send details on WhatsApp instead and end the call politely — a refused qualification call is still a live lead worth nurturing another way.
Can the same agent handle multiple languages?
Yes. Convo360 supports major Indian languages including Hindi, Tamil, Telugu, Bengali and more, plus Hinglish code-mixing, so you write the qualification script once and select the caller's preferred language for that call's voice.
Does this replace a human sales call entirely?
No. It filters and prioritises so your team spends time on leads that are actually ready, and transfers hot leads live rather than replacing the closing conversation.
How do I know if my qualification script is actually working?
Track the qualification rate, transfer rate and average call duration over your first batch of calls, and review transcripts of calls that ended early to find phrases that cause hesitation.
