D2C customer support automation when shoppers expect quick-commerce speed
Quick-commerce apps have taught Indian shoppers to expect answers in seconds, even from brands that deliver in three days. D2C brands keep up by automating the repeat questions: order status, returns and exchanges, COD confirmation, sizing and stock. An AI assistant on WhatsApp and website chat answers these instantly from live order data and hands the rest to a person.
- Shoppers judge your support against the fastest app on their phone, not against other D2C brands.
- Order status, returns, COD confirmation, sizing and stock questions make up most D2C chats and can be automated.
- Live order data, fetched through an HTTP/API step, is what turns a chatbot from polite to useful.
- Refund disputes, damaged products and angry customers should reach a human quickly, with the chat history attached.
- Fewer, richer replies matter now that Meta charges for service messages beyond the monthly free tier.
The expectation gap quick commerce created
A shopper in Bengaluru orders milk and a phone charger on a quick-commerce app and watches a rider move across the map. The same evening she orders a ₹1,799 kurta from a D2C brand's website. It will take four days, which she accepts. What she does not accept is sending "where is my order?" on WhatsApp and waiting until the next afternoon for a reply.
Most D2C brands cannot deliver in minutes, and they do not need to. What they can match is the speed of information: instant order status, a clear answer on returns, and a quick yes or no on stock. That is a support problem, and most of it repeats.
What D2C shoppers actually ask, and what to automate
| Question | Automate? | How |
|---|---|---|
| Where is my order? | Yes | Look up order and courier status by phone number |
| Can I return or exchange this? | Mostly | Check order date against policy, collect reason and photos |
| Please confirm my COD order | Yes | Confirm or cancel with buttons, or an AI confirmation call |
| Which size should I take? | Yes | Size chart plus a few questions about fit preference |
| Is this back in stock? | Yes | Check stock, offer a notify-me tag |
| My product arrived damaged | Start only | Collect order number and photos, then hand to a person |
| Refund not received | Start only | Show refund status if available, then escalate |
The pattern is clear: automate the lookup and the policy answer, and route anything involving judgement or an upset customer to your team. Our WISMO reduction playbook goes deeper on order status alone.
Speed targets worth setting
- First reply: within seconds, at any hour, on WhatsApp, Instagram DMs and website chat.
- Order status: answered in the first reply, without asking the customer for an order number if their phone number already identifies them.
- Return or exchange request: fully captured in one conversation, with photos, so nobody has to message again.
- Human handover: a person picks up escalations within your stated business hours, and the customer is told when that will be.
Measure these weekly. The goal is not zero human chats. It is that every human chat is one that genuinely needs a human. See first response time SLAs for how to set realistic targets.
Building the support assistant on Convo360
Convo360 is a no-code platform for AI chat and voice. A D2C support assistant usually looks like this:
- Trigger: a new conversation trigger on your WhatsApp number and website widget, with a List Menu: Track order, Return or exchange, Size help, Something else.
- Order lookup: an HTTP/API request step calls your store or shipping system with the customer's {{phone}} and returns status and tracking. A Condition step handles "no order found". Shopify sellers can follow our Shopify order status bot guide.
- Returns: Ask a Question steps collect the reason and photos, and Save CRM lead creates a record your team works from.
- Everything else: an AI Reply step answers from a knowledge base holding your size charts, policies and FAQs, in Hindi, English or Hinglish.
- Handover: damaged items and refund issues go to the live chat inbox, where the bot pauses once an agent replies.
For proactive updates, send approved Utility templates for dispatch and delivery from your store's events through an inbound webhook trigger.
COD, the D2C problem quick commerce does not have
Quick-commerce orders are mostly prepaid inside the app. D2C brands still take many cash-on-delivery orders, and unconfirmed COD orders are a known source of returned parcels. Confirm every COD order within minutes of purchase with a WhatsApp message carrying Confirm and Cancel buttons, and follow up with an AI voice call for customers who do not respond. Offer a payment link in the same message for those happy to prepay. The COD verification playbook has the full sequence.
Support is also how you keep the customer
Many D2C brands now sell on their own website, on marketplaces and on quick-commerce apps at the same time. On the apps, the platform usually owns the customer conversation. On your own channels, every support chat is a chance to build a relationship that is yours.
- Capture consent properly. Ask during the chat whether the customer would like offers and new arrivals on WhatsApp, and record the answer, so later broadcasts go only to people who agreed.
- Tag what you learn. Use Add to Group for useful signals such as size, city or favourite category.
- Close the loop. After a return or complaint is resolved, a short satisfaction question shows the customer you noticed, and tells you which issues keep coming back.
Good support data also tells your product team which sizes run small and which products arrive damaged, which no app dashboard will.
What it costs to run
Convo360 plans start at ₹999 a month plus GST, with Pro at ₹2,999 for AI voice calls and integrations. You pay Meta, your AI provider and your telephony provider directly at their rates, with no markup. Since 1 October 2026 Meta charges for service replies after 1,000 free per number each month, so design replies that answer in one message with buttons rather than four short texts. Use the cost calculator to estimate your monthly total.

Frequently asked questions
Can a chatbot tell customers their order status automatically?
Yes, if it can read your order data. An HTTP/API request step looks up the order by the customer's phone number in your store or shipping system and replies with the status and tracking link, usually in the first message.
Should a bot approve returns and refunds on its own?
It can check eligibility against your policy and collect the reason and photos. Approving refunds, judging damage claims and handling disputes should stay with your team, because they need judgement and sometimes goodwill gestures a bot should not make.
How fast should a D2C brand reply on WhatsApp?
Aim for a first reply within seconds, which only automation can deliver around the clock. For issues a person must handle, tell the customer when they will hear back and keep that promise within your stated business hours.
Do I need an AI key to automate D2C support?
Not for everything. A guided flow with menus and buttons handles order status, COD confirmation and return requests without AI. An AI key, from OpenAI, Claude or Gemini, helps with open questions such as sizing advice and product comparisons.
Does automating support cost more since Meta started charging for replies?
Meta charges per service message beyond 1,000 free per number each month, whether a human or a bot sends it. Automation can reduce the count by answering in one complete reply with buttons instead of several back-and-forth messages.
